When you join our fitness community, we're gonna need some basics to get you started on your transformation journey. Here's what we typically collect:

  • Date of birth to make sure our programs fit your age group

Safety & Legal: We've gotta keep records for liability purposes and make sure we're meeting all the legal requirements for operating a fitness facility in BC.

We're not in the business of selling your info to random companies. But there are a few situations where we might need to share your data:

Service Providers

We work with trusted partners who help us run the gym - payment processors, scheduling software, email services. They only get access to what they absolutely need and they're bound by strict confidentiality agreements.

Health Professionals

If you're working with one of our Personal Odyssey Coaches and they think you need medical clearance or specialized advice, we might share relevant health info with qualified professionals. But we'll always ask you first.

Legal Requirements

If we're legally required to share info - like responding to a court order or protecting someone's safety - we'll do what the law says. Hopefully that never happens though.

With Your Permission

Sometimes we feature member transformations on our site or social media. We'll NEVER share your photos or story without getting your explicit okay first. Your journey is yours to share, not ours.

All sensitive data gets encrypted both when it's stored and when it's moving around. Industry-standard SSL certificates protect everything you send us.

If you leave the gym and want us to wipe your records, we'll do it. There might be some stuff we're legally required to keep for a certain time, but we'll delete everything else.

Opt Out of Marketing

Not interested in our newsletters or promotional emails? No hard feelings - there's an unsubscribe link at the bottom of every message. You'll still get important stuff about your membership though.

Withdraw Consent

If you gave us permission to use your data for something specific and you've changed your mind, you can take that permission back anytime.

Our main programs are designed for adults, but we do work with teens aged 13-17 with parental consent.

If you're under 13, our services aren't available to you - sorry kiddo. And if you're 13-17, we need a parent or guardian to sign off before you can join any programs.

For members under 18, we're extra careful with data protection. Parents have the right to review, update, or delete their child's information anytime. We'll never knowingly collect or use a minor's data for marketing purposes.

If we find out we've accidentally collected info from someone under 13 without proper consent, we'll delete it immediately.

We don't keep your data forever - that'd be weird and unnecessary. Here's our approach:

  • Active Members: We keep all your info as long as you're training with us. Makes sense, right?
  • Former Members: After you leave, we'll hang onto basic records for 7 years for legal and tax purposes. That's a Canadian business requirement.
  • Marketing Data: If you're on our email list but not a member, we'll keep that info until you unsubscribe or for 3 years of inactivity.
  • Health Records: Medical waivers and health info get kept for 7 years after your last visit - another legal requirement in BC.

Once we don't need your data anymore, we securely delete or anonymize it. No point in keeping stuff we don't need.

Sometimes our website or emails might include links to other sites - like our social media profiles, partner gyms, or supplement companies we recommend.

Once you click those links and leave our site, we can't control what happens to your data. Those other sites have their own privacy policies, and honestly, you should read them.

We try to only link to reputable places, but we're not responsible for how they handle your info. Just giving you a heads up.

Privacy laws change, our services evolve, and sometimes we need to update this policy to reflect that. When we make changes, we'll:

  • Update the "Last Updated" date at the top
  • Post a notice on our homepage for at least 30 days
  • Send an email to all active members if it's a significant change
  • Keep a copy of the old version available if anyone wants to compare

We're based in Vancouver, BC, and most of our data stays in Canada. But some of our service providers - like our email platform or payment processor - might be located outside Canada.
