We're serious about keeping your info safe on this fitness odyssey
Look, we get it - nobody really enjoys reading through legal stuff. But here's the deal: at Halrion Odyssey Fitness, we're gonna be straight with you about what data we collect, why we need it, and how we keep it locked down tight. Your trust means everything to us.
When you join our fitness community, we're gonna need some basics to get you started on your transformation journey. Here's what we typically collect:
We're not collecting this stuff just for kicks. Everything we gather has a purpose that's gonna help you on your fitness odyssey:
Service Delivery: We need your basics to set up your membership, schedule your classes, and process payments. Can't really run a gym without this stuff.
Personalized Training: Your health info and fitness data help our coaches design programs that actually work for YOU. We're not about cookie-cutter workouts here.
Communication: We'll shoot you class reminders, training tips, and updates about what's happening at the gym. No spam, just the good stuff.
Progress Tracking: Watching your transformation unfold is honestly the best part of our job. Your data helps us show you how far you've come.
Safety & Legal: We've gotta keep records for liability purposes and make sure we're meeting all the legal requirements for operating a fitness facility in BC.
We're not in the business of selling your info to random companies. But there are a few situations where we might need to share your data:
We work with trusted partners who help us run the gym - payment processors, scheduling software, email services. They only get access to what they absolutely need and they're bound by strict confidentiality agreements.
If you're working with one of our Personal Odyssey Coaches and they think you need medical clearance or specialized advice, we might share relevant health info with qualified professionals. But we'll always ask you first.
If we're legally required to share info - like responding to a court order or protecting someone's safety - we'll do what the law says. Hopefully that never happens though.
Sometimes we feature member transformations on our site or social media. We'll NEVER share your photos or story without getting your explicit okay first. Your journey is yours to share, not ours.
We take security seriously - like, really seriously. Here's how we protect your stuff:
All sensitive data gets encrypted both when it's stored and when it's moving around. Industry-standard SSL certificates protect everything you send us.
Only staff members who actually need to see your info can access it. Everyone's trained on privacy protocols and signs confidentiality agreements.
Regular backups mean your data won't disappear if something goes wrong with our systems. And yeah, those backups are encrypted too.
Our servers are housed in secure facilities, and any paper records we keep are locked up tight when not in use.
Your data belongs to YOU. Here's what you can do with it:
Wanna see what data we've got on you? Just ask. We'll send you a copy of everything we're holding within 30 days.
If something's wrong or outdated, let us know and we'll correct it. Keeping your info accurate matters to us.
If you leave the gym and want us to wipe your records, we'll do it. There might be some stuff we're legally required to keep for a certain time, but we'll delete everything else.
Not interested in our newsletters or promotional emails? No hard feelings - there's an unsubscribe link at the bottom of every message. You'll still get important stuff about your membership though.
If you gave us permission to use your data for something specific and you've changed your mind, you can take that permission back anytime.

Yeah, we use cookies. Not the chocolate chip kind (though we wish). Here's the breakdown:
These keep the site running smoothly - remembering you're logged in, keeping items in your cart, that kind of thing. Can't really turn these off without breaking the site.
We use tools like Google Analytics to see how people use our site. Helps us figure out what's working and what needs fixing. All data is anonymized though.
These remember your choices - like if you prefer metric or imperial measurements, or which training programs you're interested in.
Most browsers let you control cookies through their settings. Just heads up that blocking cookies might make parts of the site not work as well.
Our main programs are designed for adults, but we do work with teens aged 13-17 with parental consent.
If you're under 13, our services aren't available to you - sorry kiddo. And if you're 13-17, we need a parent or guardian to sign off before you can join any programs.
For members under 18, we're extra careful with data protection. Parents have the right to review, update, or delete their child's information anytime. We'll never knowingly collect or use a minor's data for marketing purposes.
If we find out we've accidentally collected info from someone under 13 without proper consent, we'll delete it immediately.
We don't keep your data forever - that'd be weird and unnecessary. Here's our approach:
Once we don't need your data anymore, we securely delete or anonymize it. No point in keeping stuff we don't need.
Sometimes our website or emails might include links to other sites - like our social media profiles, partner gyms, or supplement companies we recommend.
Once you click those links and leave our site, we can't control what happens to your data. Those other sites have their own privacy policies, and honestly, you should read them.
We try to only link to reputable places, but we're not responsible for how they handle your info. Just giving you a heads up.
Privacy laws change, our services evolve, and sometimes we need to update this policy to reflect that. When we make changes, we'll:
We recommend checking back here occasionally to stay in the loop. If you keep using our services after we've posted changes, that means you're cool with the updated policy.
If there's ever a major change that affects how we use your data, we'll get your explicit consent before implementing it.
We're based in Vancouver, BC, and most of our data stays in Canada. But some of our service providers - like our email platform or payment processor - might be located outside Canada.
When your data crosses borders, it's subject to the laws of that country. We only work with providers that meet Canadian privacy standards and have strong data protection practices.
If you've got concerns about where your data goes, shoot us a message and we'll give you the specifics on our service providers.
Got questions about this policy? Worried about how we're handling your data? Don't keep it to yourself - reach out.
